Describe what the customer and your staff should experience
“Connect our CRM” is too vague to price accurately. Should a website enquiry create a customer record? What if that customer already exists? Who receives the lead, and what must they do next?

Check what access and software the project needs

List the systems you use and the person who controls each account before ordering. Ask whether you need a software upgrade and who will pay recurring charges after the build is handed over. Never give a provider your personal password when your software offers a safer way to grant access.

Ask the provider to show the finished process
A CRM connection can look complete because a contact appears in the system. Check that the right information arrived, the salesperson is named, and somebody can see what should happen next.
Ask the provider to show the process with an ordinary new enquiry, an existing customer filling out the form again, and a form that is missing required information. If the build involves payment, check that pending and confirmed payments trigger the correct next steps.

Before you order, answer these five questions
A useful brief can be short. Answer these questions before you buy a CRM or automation service:
- What starts the process: a form, message, or paid invoice?
- Which system should receive the information?
- Who takes the next action?
- What should happen if the person already exists or information is missing?
- How will you check that the change worked?

Put the handover in the offer
Before the provider starts, agree which account will own the finished automation and how your staff will get access. A workflow built in the seller’s account can be hard for your team to maintain later.
Ask for instructions that cover the ordinary step and one common problem. If a website form stops sending leads, should your team check a notification, reconnect an account, or contact the provider? Also agree what it will cost to change the automation after the job is done.
Include the date you expect to review the finished work. Walk through it with the person who will use it. If that person cannot follow the enquiry from the website to the salesperson, ask the provider to show the steps again before accepting the delivery.
